NDIS guide

NDIS invoice requirements: what every invoice needs

An NDIS invoice must show your business name and ABN, the participant's name and NDIS number, the support item number, quantity and price, the claim type, the date of each support, the total and any GST. One invoice covers one participant only.

What an NDIS invoice must include

Every invoice needs the details below. It can include several supports, but only for one participant, and plan managers also need the ABN of each third-party provider on the invoices they pay.

  • Your NDIS business name and ABN.
  • The participant's name and NDIS number.
  • The participant's address and postcode, for specialist disability accommodation.
  • The support item number from the NDIS Support Catalogue for each line.
  • The quantity and price for each line, for example 2 hours at $73.58.
  • The claim type, such as non-face-to-face, provider travel, short notice cancellation or an NDIA requested report.
  • The date each support was delivered.
  • The total amount, and the GST component if any.

Example NDIS invoice

This example uses the 2026–27 national price limit for the item. Your price can't be more than the limit in force on the day of the support, and it should match the price in the service agreement.

Claim within 90 days from 1 December 2026

The Securing the NDIS for Future Generations Act 2026 cuts the time to claim from two years to 90 days, from 1 December 2026. Invoice soon after each support is delivered so claims and plan manager payments aren't missed.

From 27 August 2026, records that support a claim, including invoices, service agreements and notes showing the support was delivered, must be kept for seven years.

Common reasons invoices are rejected

  • A support item that isn't in the participant's plan or doesn't match the support delivered.
  • A price above the price limit for that date and location.
  • More than one participant on the same invoice.
  • A missing NDIS number, ABN or date of support.
  • A short notice cancellation that doesn't meet the cancellation rules.

How Care Nexus helps

Care Nexus builds invoices from delivered supports, one participant per invoice, with the support item, claim type and date on every line. Each line is priced from the participant's location and the date and time of service, using the NDIS price limit in force that day. Bulk claim files are generated for NDIA-managed participants, and every invoice is synced to Xero, MYOB, QuickBooks or your accounting system.

Questions

Frequently asked questions.

Can one NDIS invoice cover more than one participant?

No. Each invoice is for one participant, though it can include several supports.

How long do I have to claim an NDIS support?

Two years until 30 November 2026. From 1 December 2026 the window is 90 days.

Do NDIS invoices include GST?

Most NDIS supports are GST-free when the participant has a plan in effect, the support is in their plan and there's a written agreement. Show the GST component on the invoice if GST applies.

  • NDIS short notice cancellations: the rules for providers

  • NDIS service agreements: requirements and a template checklist

An NDIS service agreement sets out which supports you'll deliver, how, when and at what price, plus your cancellation policy, how changes are made and how to complain. Registered providers must give each participant a copy signed by both of you, or record why that isn't possible.

  • NDIS care plans: what a support plan must include

An NDIS care plan, called a support plan in the Practice Standards, records the participant's needs, preferences, strengths and goals, the risks and how they're managed, preventive health and emergency arrangements. It's made with the participant and reviewed at least once a year.
