NDIS short notice cancellations: the rules for providers

Support worker services cancelled with less than 7 clear days' notice, and most other supports with less than 2 clear business days, can be claimed at up to 100% of the agreed price if your service agreement allows it.

Last reviewed 27 October 2026 by the AppliQ Team. Check the sources below for the latest rules.

What counts as short notice

Clear days don't include the day notice is given or the day of the support. For business days, weekends and public holidays don't count.

Most other supports, including therapy2 clear business days

How much you can claim

  • Up to 100% of the agreed price.
  • Only if your service agreement sets out the cancellation terms.
  • Only if you couldn't find other billable work for the worker.
  • You can always claim less, or nothing.

How Care Nexus handles client cancellations

Each service's cancellation rule is picked up from the participant's funding and the service agreement, so nobody has to remember the notice period.

  • Before a participant or family member cancels a service delivery (shift/appointment) in the client portal, Care Nexus checks the cancellation rule and tells them whether a cancellation charge applies, and how much.
  • Once confirmed, the cancellation is invoiced with the cancellation noted on the line, under the short notice cancellation claim type.
  • It goes to the right payer for the participant's plan: the NDIA for NDIA-managed, the plan manager for plan-managed, or the participant for self-managed.

How Care Nexus handles worker cancellations

A worker cancelling is never charged to the participant or the NDIA. When a support worker cancels a shift in the worker app or portal, Care Nexus takes them off the shift and keeps the shift for the participant.

  • You can publish the shift to other suitable workers so someone else can pick it up.
  • If it can't be filled, you cancel the shift and the participant is notified.
  • Nothing is invoiced or claimed for a shift the provider couldn't staff.

Reports for both

Care Nexus reports client cancellations and worker cancellations separately, so you can see which participants cancel often, which workers drop shifts, and how much cancellation revenue was claimed.

Questions

Frequently asked questions.

Is there a limit on how many short notice cancellations I can claim?

The rules don't set a number, but every claim must meet the conditions above.

Can I add an admin fee?

No. You can't claim more than the support would have cost.

Can I charge if my worker cancels?

No. A cancellation by the provider or its worker isn't a short notice cancellation, so nothing is charged to the participant or claimed from the NDIA.

Where does Care Nexus get the cancellation rule from?

From the participant's funding and the service agreement, for each service. You set the rule once and it applies every time.

Does Care Nexus tell participants the cancellation charge before they cancel?

Yes. When a participant or family member cancels a shift or appointment in the client portal, Care Nexus shows whether a charge applies and how much before they confirm.

Who receives the cancellation invoice in Care Nexus?

It follows how the plan is managed: the NDIA for NDIA-managed participants, the plan manager for plan-managed, and the participant for self-managed. The line is marked as a cancellation.

What happens in Care Nexus when a support worker cancels a shift?

The worker is taken off the shift and you can publish it to other suitable workers. If no one can take it, you cancel it, the participant is notified and nothing is charged.

Can I get a report on cancellations in Care Nexus?

Yes. You can get a report clearly showing client cancellations and worker cancellations.

  • How to make NDIS bulk payment requests

A bulk payment request is one CSV file that claims every support you delivered to NDIA-managed participants over a period, uploaded in the my NDIS provider portal instead of claiming one by one.

  • NDIS service agreements: requirements and a template checklist

An NDIS service agreement sets out which supports you'll deliver, how, when and at what price, plus your cancellation policy, how changes are made and how to complain. Registered providers must give each participant a copy signed by both of you, or record why that isn't possible.

  • NDIS invoice requirements: what every invoice needs

An NDIS invoice must show your business name and ABN, the participant's name and NDIS number, the support item number, quantity and price, the claim type, the date of each support, the total and any GST. One invoice covers one participant only.

  • NDIS care plans: what a support plan must include

An NDIS care plan, called a support plan in the Practice Standards, records the participant's needs, preferences, strengths and goals, the risks and how they're managed, preventive health and emergency arrangements. It's made with the participant and reviewed at least once a year.
