NDIS services and booking rules,
checked on every booking.

Every NDIS support booked in Care Nexus is checked against the participant's plan: plan dates, support category budgets and the limits in their service agreement. Participants and their families book, change and follow their supports in a free client portal.

Booking rules

The NDIS booking rules,
explained.

These rules run every time an NDIS support is booked, by your team or by the participant in the client portal. They start as the rules in Service Settings, and any of them can be changed for one participant only. Rules that differ from Service Settings are marked as customised.

  1. The plan is active on the booking date

The booking date must fall between the plan's start and end dates. A booking after the plan has ended is flagged before it is confirmed, so supports aren't delivered against a plan that can no longer pay for them.

  2. The support category has budget left

Care Nexus checks the budget left in the support category the service is charged to. Core budgets are flexible: if one core category is short, Care Nexus shows which other core category could cover the difference. Capacity building categories are checked separately, as the NDIS requires.

  3. Hours and visits stay within the agreed limits

Set limits from the participant's service agreement, such as 2 hours a week, 4 hours a fortnight or 3 visits a week. Each booking is checked against what has already been used in that period, so you can see the hours left before you confirm.

  4. The price is within the NDIS price limit

The rate is taken from your line items for the participant's location (National, Remote or Very Remote) and the time of service. Rates above the current NDIS price limit are flagged, because claims over the limit can be rejected.

  5. The plan type is respected

Each participant's plan is recorded as NDIA-managed, plan-managed or self-managed, with the budget and amount left for every support category, so the booking is checked against the right budget.

  6. Future dates can be held

A booking for a future date can be confirmed and held on the roster. It is checked again against the plan when the service is delivered.

  7. Rules can be switched off for a service

Some services don't need a funding check. Booking rules can be turned off for a service, and Care Nexus then shows clearly that nothing is checked.

When a rule isn't met

Each rule is set to one of three responses. You choose per service, and can change it for a single client.

  • Block

The booking can't be confirmed until the rule is met. Use it where funding can never apply, such as a plan or approval that has ended.

  • Warn

Your team sees exactly which rule isn't met and can continue with a reason, which is kept with the booking for audit.

  • Suggest private funding

Only the part funding covers is booked to the funded service. The rest is offered as private funding, at your matching private service rate.

Limits for any period

Limits can be set in hours, visits, units or dollars, and taken from the program rules, the client's approval or your own policy.

  • Per booking
  • Per day
  • Per week
  • Per fortnight
  • Per month
  • Per 28 days
  • Per quarter
  • Per financial year
  • Approval or plan period

Set once, customised per client

Booking rules are set for each service in Service Settings and apply to every client. Open any client's funding to change a rule for that client only. Customised rules are clearly marked, and rules can be switched off for services that need no funding check.

Invoicing

Priced and invoiced
the NDIS way.

Once a support is delivered, the price, time of service and plan budget all come from the same rules that checked the booking.

Location and time-of-service pricing

National, Remote and Very Remote price limits and weekday, evening, night, weekend and public holiday rates are applied automatically from the service date and time.

Category budgets updated as you go

Every delivered support is drawn from its support category, so the budget left is always current for your team, the participant and their family.

Invoices with payment details

Invoices carry your bank details, PayID and payment terms, so participants and plan managers know exactly how and when to pay.

Questions

NDIS services,
answered.

  • What happens if an NDIS booking goes over the participant's budget?

Care Nexus shows the shortfall before the booking is confirmed. Depending on how the service is set up, it can block the booking, warn and let your team continue with a reason, or offer to book only the uncovered part as private funding.

  • Does Care Nexus understand core flexibility?

Yes. Core support categories are checked together, so if one core category is short Care Nexus shows which other core category could cover it. Capacity building categories are checked on their own budgets.

  • Can participants book their own supports?

Yes. In the free client portal, participants and their nominated family members can book supports, change booking days and request new services. Every booking is checked against the plan and the service agreement.

  • Can booking rules be different for one participant?

Yes. Rules start as the defaults in Service Settings and can be changed for any participant. Changes are marked as customised so your team can see what differs.
